AI POLICIES
Artificial Intelligence (AI) Policy
1. Purpose and Scope
UMI Medical Journal (UMJ), published by the Faculty of Medicine, Universitas Muslim Indonesia, recognizes that artificial intelligence (AI) and generative AI technologies may assist authors in preparing, analyzing, and presenting scholarly work. UMJ permits the responsible use of such technologies, provided that their use does not compromise research integrity, scientific accuracy, transparency, confidentiality, or the originality of scholarly contributions.
This policy applies to authors, editors, and reviewers involved in manuscript preparation, submission, editorial assessment, and peer review. It covers generative AI systems and AI-assisted technologies used to produce or revise text, images, tables, code, data analyses, or other content submitted for publication.
2. Acceptable Use of AI by Authors
Authors may use AI tools for limited and responsible purposes, including:
-
Improving grammar, spelling, readability, and language expression.
-
Supporting translation or language editing.
-
Assisting with the organization or summarization of material, provided that the original sources are independently consulted and accurately cited.
-
Supporting coding, statistical workflows, or other research tasks, provided that the methods, outputs, and limitations are carefully verified by the authors.
AI tools must be used as assistive technologies and must not replace the authors’ intellectual contribution, scientific judgment, or responsibility for the research.
3. Disclosure of AI Use
Authors must transparently disclose the use of generative AI or AI-assisted technologies that materially contributed to the preparation, analysis, or presentation of a submitted manuscript.
The disclosure should identify:
-
The name of the AI tool or system used.
-
The purpose for which it was used.
-
The relevant part or stage of the work in which it was used.
-
The extent of the authors’ verification and review of the AI-assisted output.
The disclosure should be included in the Methods section when AI was used as part of the research process, analysis, or manuscript preparation, in accordance with UMI’s guidance on AI use in scholarly work. If AI was used only for language editing or writing assistance and does not fit naturally within the Methods section, authors should provide a separate Declaration of AI Use or an appropriate statement in the Acknowledgments.
Authors who did not use generative AI or AI-assisted technologies in preparing the manuscript are encouraged to state: “The authors declare that no generative AI or AI-assisted technologies were used in the preparation of this manuscript.”
4. Author Responsibility and Accountability
AI tools cannot be listed as authors or co-authors. Authorship requires intellectual contribution, approval of the final manuscript, and accountability for the published work—responsibilities that cannot be fulfilled by AI systems.
The authors remain fully responsible for all content submitted to and published by UMJ, including content generated or revised with AI assistance. Authors must:
-
Verify the accuracy, validity, and relevance of AI-generated or AI-assisted content.
-
Check all references and citations against the original sources.
-
Ensure that the manuscript contains no fabricated data, unsupported claims, false citations, or misleading statements.
-
Confirm that the final manuscript represents the authors’ own scholarly work and complies with UMJ’s requirements for originality, research ethics, and publication integrity.
AI-generated text must not be presented as verified scientific evidence without appropriate review and validation.
5. Prohibited Use of AI
The following uses are prohibited:
-
Generating, altering, or fabricating research data, results, references, images, or other evidence and presenting them as genuine.
-
Using AI-generated citations or bibliographic information without verifying that the cited sources exist and support the relevant claims.
-
Submitting AI-generated content that misrepresents the authors’ work, originality, methods, or findings.
-
Using AI to conceal plagiarism, manipulate similarity-checking results, or evade UMJ’s publication and research-integrity requirements.
-
Uploading identifiable patient information, confidential research data, unpublished manuscripts, or other sensitive materials to AI systems that are not authorized for such use or do not provide adequate privacy and security protections.
AI-generated or AI-modified images must not be presented as authentic clinical, laboratory, or research images. Any permitted AI-assisted image processing must be disclosed, scientifically justified, and must not distort or misrepresent the underlying evidence.
6. AI Use in Research, Data Analysis, and Reporting
When AI is used in the research process—including data processing, coding, statistical analysis, image analysis, or interpretation—authors must describe its role sufficiently for readers to understand how it contributed to the study.
Authors must independently assess the validity, reproducibility, and limitations of AI-assisted outputs. AI-generated interpretations must not replace appropriate statistical, clinical, or scientific evaluation. In medical and health sciences research, authors must ensure that AI-assisted procedures do not compromise participant safety, data confidentiality, ethical approval requirements, or the reliability of reported findings.
7. Responsibilities of Editors and Reviewers
Editors and reviewers must protect the confidentiality of submitted manuscripts and unpublished research.
Editors and reviewers must not upload or disclose manuscripts, reviewer reports, or confidential editorial information to public or unauthorized AI tools. AI systems must not replace the independent expert judgment of editors or reviewers in assessing a manuscript’s originality, scientific quality, ethical compliance, or suitability for publication.
Any use of AI-assisted tools in editorial or peer-review activities must be consistent with UMJ’s confidentiality requirements and authorized editorial procedures. Editors and reviewers remain responsible for their decisions and assessments.
8. Editorial Assessment and Policy Enforcement
UMJ may request clarification or additional information regarding an author’s declared use of AI. Manuscripts may be returned for revision if the disclosure is incomplete or if AI-assisted content cannot be adequately verified.
Undisclosed or irresponsible use of AI may be considered a breach of research or publication ethics, depending on the nature and seriousness of the conduct. UMJ may take appropriate editorial action in accordance with its publication ethics procedures, including requesting corrections, rejecting a manuscript, or taking further action when misconduct is identified.
This policy is intended to support responsible and transparent use of AI while upholding UMJ’s commitment to scientific excellence, publication quality, integrity, and ethical scholarship.
